Purpose of role:
The purpose of this role is to provide critical support to the recruitment team by managing essential clerical and customer service tasks, ensuring smooth daily operations. This role is designed for a highly organized individual who excels in multitasking, with a focus on building strong relationships with candidates and clients alike. By maintaining accurate records, managing candidate pools, and ensuring compliance, the successful candidate will play a pivotal role in the efficient functioning of the recruitment process, directly contributing to the success and growth of the business.
Clerical and Customer Service Responsibilities:
- Roster Management: Efficiently manage and action client rosters using Deputy or SMS, ensuring smooth operations and timely updates.
- Candidate Care: Proactively engage with candidates to confirm availability and gather feedback on their site experience, ensuring high satisfaction levels.
- Pool Management: Maintain a well-stocked talent pool by monitoring and adjusting candidate levels across job categories per client needs.
- Candidate Engagement: Build strong relationships with both active temporary staff and potential candidates by promptly responding to incoming emails and calls.
- Call Handling: Manage and respond to incoming calls via Dialpad, providing excellent customer service and support.
- Data Management: Perform accurate data entry in JobAdder, including updating and creating candidate profiles, and keeping status information current.
- Compliance Audits: Conduct thorough audits of new candidate files, manage deactivation processes in Xero and Deputy, ensuring compliance with company standards.
- Calendar Management: Oversee and track all candidate-related activities, keeping the recruitment team organized and on schedule.
- Activity Summaries: Prepare and present weekly summaries of candidate and recruitment activities.
- Client Reporting: Generate and provide detailed reports for clients, ensuring they are informed and satisfied with service delivery.
- Reference Checks: Conduct thorough reference checks to ensure candidate suitability for roles.
- Candidate Screening: Review ad responses and screen candidates effectively, selecting top talent for interviews.
- Interview Coordination: Schedule and prepare for interviews, both for yourself and for consultants, ensuring thorough preparation and smooth execution.
- Video Interviews: Conduct professional video interviews via Zoom, evaluating candidates' suitability for various roles.
- Lead Identification: Identify potential leads from candidate resumes, calls, and interviews, and pass them on to the Sales Manager for further action.
